We collect personal information directly from parents or legal guardians when they register a child with us, contact us, or submit an enquiry through our website.

The information we collect may include:

  • Parent or guardian name

  • Child's date of birth

  • Telephone number

  • Relevant medical information, allergies, injuries or health conditions required to ensure a child's safety during classes and events

We only collect information that is necessary to provide our services safely and effectively.

We use this information solely to respond to your enquiry and provide any information or assistance you have requested.


Children's Privacy

Our services are intended for children under the age of 18.

All personal information relating to children must be provided by a parent or legal guardian. We do not knowingly collect personal information directly from children without parental or guardian involvement.

  • Register members for classes

  • Administer memberships

  • Communicate with parents or guardians

  • Maintain emergency contact information

  • Provide appropriate support for medical needs during activities

Our Lawful Bases for Processing

Under UK GDPR, we rely on the following lawful bases:

  • Contract – to provide coaching, memberships, classes and competition services.

  • Legal Obligation – to comply with safeguarding, health and safety, accounting and other legal responsibilities.

  • Legitimate Interests – to operate and improve Fusion Xtreme Cheer and Dance, communicate with families and administer our activities.

  • Consent – for:

    • Processing medical or health information where explicit consent is required.

    • Using photographs, videos and names for promotional purposes.

    • Any marketing communications where consent is required by law.


Parents or guardians may withdraw consent for photographs and videos at any time by contacting us. Withdrawal of consent will not affect processing that occurred before consent was withdrawn.


Payments

Membership payments are processed securely through Stripe.

We are also developing an online Pro Shop. When available, purchases made through our website will also be processed securely through Stripe or another secure payment provider.


We do not store your full payment card details. Stripe processes payment information in accordance with its own privacy and security standards.

Competition Registration


Where athletes participate in competitions, we may share the information required to complete registrations with competition organisers and registration platforms, including:

  • RegChamp

  • Ideal Logic

  • Varsity registration systems


Some competition organisers or registration providers may process information outside the United Kingdom, including in the United States. Where this occurs, we take reasonable steps to ensure appropriate safeguards are in place to protect personal information in accordance with UK GDPR.


Photography and Video

We regularly take photographs and videos during training sessions, performances and competitions.

These may be used on our social media channels, website, promotional materials and other marketing content.

Where consent has been given, an athlete's first name may also be used alongside photographs or videos.

We only use photographs, videos and names where appropriate consent has been provided by a parent or legal guardian.

Consent may be withdrawn at any time by contacting us.


Data Sharing

We do not sell personal information.

We only share information where necessary to:

  • Process payments.

  • Register athletes for competitions.

  • Meet legal or safeguarding obligations.

  • Work with trusted service providers who assist in delivering our services.


Data Security
We take appropriate technical and organisational measures to keep personal information secure and protected against unauthorised access, loss, misuse or disclosure.

Access to personal information is limited to individuals who require it to perform their role.


Data Retention

We retain personal information only for as long as it is necessary to:

  • Provide our services.

  • Meet safeguarding, insurance, accounting and legal obligations.

  • Resolve disputes where required.


When information is no longer required, it is securely deleted or destroyed.

Safeguarding & Anti-Bullying Policy

1. Our Commitment

Fusion Xtreme Cheer & Dance is committed to providing a safe, positive and inclusive environment where every child can participate, learn and develop free from abuse, neglect, bullying or discrimination.

The welfare of every child is our highest priority. We are committed to promoting the safety and wellbeing of all children and young people attending our classes, events and competitions.

This policy applies to all coaches, volunteers, athletes, parents and guardians involved with Fusion Xtreme Cheer & Dance.

3. Designated Safeguarding Lead

The Designated Safeguarding Lead (DSL) for Fusion Xtreme Cheer & Dance is:

All safeguarding concerns should be reported to the Designated Safeguarding Lead as soon as possible.

If a child is believed to be at immediate risk of harm, emergency services should be contacted immediately by calling 999.


4. Recruitment and Training

Fusion Xtreme Cheer & Dance is committed to ensuring suitable adults work with children.

  • Coaches and volunteers aged 18 and over are required to hold an Enhanced DBS check.

  • Coaches aged 16 and 17 are required to hold a Basic DBS check where applicable.

  • Safeguarding responsibilities form part of every coach's role.

  • Two members of our coaching team currently hold recognised First Aid qualifications, and appropriately trained coaches will be available during activities wherever possible.


5. Equality and Inclusion

Fusion Xtreme Cheer & Dance welcomes children and young people from all backgrounds.

We are committed to treating everyone with dignity, fairness and respect regardless of age, disability, race, religion or belief, sex, gender identity or sexual orientation.

Bullying, harassment, discrimination and abusive behaviour will not be tolerated.


6. Code of Conduct

Everyone involved with Fusion Xtreme Cheer & Dance is expected to:

  • Treat others with kindness, respect and courtesy.

  • Behave in a way that promotes a safe and welcoming environment.

  • Follow instructions given by coaches.

  • Respect club equipment and facilities.

  • Use appropriate language at all times.

  • Support teammates and encourage positive behaviour.

  • Report any safeguarding concerns, bullying or inappropriate behaviour to a coach.

Parents and guardians are expected to support the club by promoting respectful behaviour and communicating with coaches appropriately.


7. Physical Contact

Cheerleading requires appropriate physical contact to ensure athletes are coached safely.

Coaches may use appropriate physical contact to support safe skill development, spotting and injury prevention. This will always be explained, be appropriate to the activity, and respect each athlete's comfort, dignity and wellbeing.

Parents and guardians are welcome to observe all one-to-one coaching sessions.


8. Communication

Communication with families will take place through parents or guardians using approved communication methods, including:

  • BAND

  • Email

  • Facebook Messenger

Fusion Xtreme Cheer & Dance does not expect children to manage official club communications on behalf of their parents or guardians.


9. Photography and Video

Photographs and videos may be taken during training sessions, performances and competitions.

Images and videos will only be used where appropriate consent has been provided in accordance with our Privacy Policy and membership documentation.

10. Mobile Phones and Recording

Athletes, parents and spectators must not photograph or record other children without appropriate permission.

Mobile phones must not be used in changing areas or toilets.

The club reserves the right to ask for recording to stop where it may affect safeguarding, privacy or the wellbeing of participants.


11. Collection of Children

Athletes under the age of 16 must be collected promptly by a parent or guardian after each session unless written permission has been provided allowing them to leave independently.

Parents and guardians remain responsible for their child before the start of training and immediately after sessions have finished.


12. Transport

Parents and guardians are responsible for arranging transport to and from training sessions, competitions and events.

Fusion Xtreme Cheer & Dance coaches and volunteers do not provide transport for athletes.


13. Anti-Bullying

Fusion Xtreme Cheer & Dance has a zero-tolerance approach to bullying.

Bullying may include:

  • Physical bullying

  • Verbal bullying

  • Emotional bullying

  • Social exclusion

  • Online or cyberbullying

  • Discrimination or harassment

Any concerns about bullying should be reported to a coach or the Designated Safeguarding Lead.

All reports will be taken seriously and dealt with fairly and confidentially where possible.

Depending on the nature and seriousness of the incident, action may include:

  • Speaking with those involved.

  • Informing parents or guardians.

  • Behaviour warnings.

  • Temporary suspension from activities.

  • Permanent removal from the club where necessary.


14. Reporting a Safeguarding Concern

Anyone who has concerns about the welfare of a child should report them to the Designated Safeguarding Lead as soon as possible.

The club will listen carefully, record concerns appropriately and take any necessary action to protect the child.

Where required, concerns may be shared with Children's Social Care, the Police or other appropriate agencies in accordance with safeguarding responsibilities.


15. Policy Review

This policy will be reviewed annually or sooner if required due to changes in legislation, safeguarding guidance or club procedures.

Refunds & Returns Policy

Fusion Xtreme Pro Shop Return & Exchange Policy

At Fusion Xtreme, we are proud to offer high-quality apparel and merchandise for our athletes, families, and supporters. As many of our products are made to order, please read our return policy carefully before placing your order.

In-Stock Pro Shop Items

Items purchased from our in-gym Pro Shop may be eligible for an exchange or Fusion Xtreme store credit within 30 days of purchase.

To be eligible:

  • Items must be unworn, unwashed, and in their original condition with tags attached.

  • Proof of purchase is required.

  • Store credit will be issued once the item has been inspected and approved.

  • We do not offer cash or card refunds for change-of-mind purchases.

Online Orders & Made-to-Order Merchandise

The majority of our online merchandise is produced specifically for each order by our manufacturing partner.

For this reason, we cannot accept returns or offer refunds for:

  • Made-to-order items

  • Team apparel

  • Spirit wear

  • Personalized or customised items

  • Items ordered in the wrong size

  • Change-of-mind purchases

Please check all sizing information carefully before placing your order.

Faulty, Damaged or Incorrect Items

If you receive an item that is faulty, damaged, or incorrect, please contact Fusion Xtreme within 10 working days of receiving your order.

If a return is approved:

  • The item must be returned within 10 days of approval.

  • The item must be returned in the condition it was received.

  • All returned items will undergo a quality inspection before a replacement, store credit, or refund (where applicable) is issued.

Final Sale Items

The following items are non-returnable unless they are faulty or supplied incorrectly:

  • Personalised or customised products

  • Team apparel and uniforms

  • Made-to-order merchandise

  • Sale or clearance items

  • Hair bows

  • Socks

  • Undergarments

  • Water bottles and other personal-use items

  • Gift cards

Store Credit

Where a return is accepted for an eligible in-stock item, a Fusion Xtreme store credit will be issued. Store credit cannot be exchanged for cash and may be used toward future Pro Shop purchases.

Your Consumer Rights

Nothing in this policy affects your statutory rights under UK consumer law. If an item is faulty, not as described, or otherwise does not meet your legal consumer rights, we will work with you to provide an appropriate remedy in accordance with applicable legislation.
